What an ERP costs a small business in India

When an Indian small business evaluates ERP software, the sticker price is rarely the real price. A per-user licence fee is the most visible cost, but it is often less than half of the total. Setting up, moving your data, training, customisation, yearly support and your people's time all add up. Understanding the full picture is the first step to making a good decision.
What a traditional ERP really costs
A typical cloud ERP for a small Indian business - say, 30 users across accounts, sales, purchasing, inventory and payroll - brings these costs in the first year:
Licence fees: Most cloud ERPs charge per user per month. At the lower end (entry-level cloud ERPs), this might be 800 to 2,500 rupees per user per month. At the higher end (established mid-market cloud ERPs), it is 3,000 to 8,000 rupees per user per month. For 30 users, the annual licence cost ranges from about 2.9 lakh to 28.8 lakh rupees.
Implementation: Even a straightforward implementation - importing data, setting up routines, setting up GST - takes a partner two to eight weeks and costs one to five lakh rupees for a small business. More complex setups (several companies, manufacturing, industry-specific routines) can reach ten lakh or more.
Training: Formal training is typically a one-time cost of 50,000 to 2 lakh rupees, depending on the number of users and how complex the routines are.
Customisation: If the business needs routines that the standard product does not support - a particular order of sign-offs, a specialised report, a link to another system - customisation is billed separately, usually at 2,000 to 5,000 rupees per hour.
Yearly support: Cloud ERPs include hosting and updates in the licence fee, but support beyond basic email or chat often costs extra: 10 to 20 per cent of the annual licence fee.
The hidden cost - people's time: The implementation absorbs the time of the business's own team: answering questions, validating data, testing the routines, learning the new software. For a small business, this is often the largest real cost, even though it does not appear on an invoice.
Where the no-licence-fee model changes the maths
Kinnow does not charge a licence fee or a per-user fee. Every one of the 49 applications is available to every user. The price is one fixed price, in writing, and it does not move with headcount.
This changes the arithmetic in three ways.
First, adding a user costs nothing extra. Adding the warehouse supervisor, the field sales rep, the project manager on site and the CA does not increase the software bill. In a per-user model, a business often restricts access to keep costs down, which means the people who need the data most are locked out. When there is no per-user fee, everyone gets in.
Second, Indian compliance is included. GST with IRN e-invoicing and e-Way bills, GSTR-1, GSTR-3B, GSTR-2B matching, TDS, and payroll with PF, ESI and professional tax are part of the main product. There is no add-on cost for compliance, and no partner-built extension that needs separate upkeep.
Third, the implementation is shorter. Because Kinnow includes all applications and Indian compliance from the start, there is less to set up. The target is first results in about two weeks, not six months. A shorter implementation means a lower partner fee and less of the team's time absorbed.
What you do pay for
Kinnow has no licence fee and no per-user fee. The price has four parts, none of them per user: Kinnow Cloud, a flat monthly fee by business size that covers hosting, backups, security, updates and standard support; an agent pack for the work the agents do, whose credits refresh every month; a one-time set-up; and customisation if you ask for it. Support and continuity upgrades are optional. It is one fixed price, in writing. There is no yearly negotiation, no settling-up at year-end, no surprise invoice when you add users.
The comparison
For a 30-person Indian business, the first-year total cost of a traditional cloud ERP (licence + set-up + training) ranges from roughly 5 lakh to 35 lakh rupees, depending on the product. The ongoing annual cost (licence + support) ranges from 3 lakh to 30 lakh rupees.
With Kinnow, the first-year cost is the set-up fee, typically lower because the timeline is shorter, plus Kinnow Cloud and the agent pack for the year. The ongoing cost is Kinnow Cloud and the agent pack only: no licence, no per-user fee.
The exact numbers depend on the size and shape of the business. But for most Indian SMEs, the total cost over the years is significantly lower, and the cost does not scale with headcount.
Frequently asked questions
Is there really no licence fee?
Kinnow carries no licence fee and no per-user fee. You pay Kinnow Cloud, a flat fee by business size, and an agent pack for the work the agents do, as one fixed price in writing.
What if we do not use any agents?
The ERP works as a full set of business records without agents. You can switch agents on and off per application.
Are there any hidden costs?
No. Set-up is a one-time fee, quoted in writing. There is no yearly maintenance charge and no per-user fee. Standard support is included; faster support and stronger continuity are optional.
How does the agent pack work?
Your agent pack's credits refresh every month, and up to 20% of what you do not use carries into the next month. If you need more, top-up credits last 12 months. The ERP works fully by hand whether or not you use agents.
