Our commitments

What we commit to.

The promises in our Terms and Privacy Policy, in plain words. Each one links to the clause it comes from.

Everything runs on your controls. Nothing is automatic until you switch it on.

Short answer

No licence fee and no per-user fee. Your data stays yours: export it any time, and for 30 days after you leave. We do not use one customer's data to train or fine-tune an AI model made available to another customer. If a breach affects your data, we tell you without undue delay. Material changes to our terms come with 30 days' notice.

What you pay for

No licence fee. No per-user fee.

  • No licence fee for the software or any application, and nothing per user or per seat.
  • Charges apply only to services. Four parts, and nothing else: Kinnow Cloud, an agent pack (which includes storage and the support and continuity level you choose at onboarding), one-time setup, and any customisation you ask for.
  • Unless your order form says otherwise, monthly agent-pack credits refresh each month and up to 20% of unused pack credits carry over for one month. Top-up credits last 12 months.
  • You can set usage limits and alerts.

From: Terms §5

Your data is yours

You own your data. You can take it with you.

  • You own your data. We process it only to provide, secure and support the service, to comply with law, and as you instruct.
  • You can export your data in standard formats at any time during your agreement.
  • After your agreement ends, your data stays available for export for 30 days. It is then deleted or de-identified within 90 days, except where the law requires us to keep it. Backups roll off on their normal cycle.
  • Keep your own copies of the records the law requires you to keep.
  • We may use aggregated and de-identified information about how the service is used to run and improve it. It does not identify you or any individual.

How AI uses your data

AI works inside your permissions.

  • AI processes only what a task needs, within the permissions of the person who asked.
  • We do not use one customer's data to train or fine-tune an AI model made available to another customer.
  • Outside AI providers work under written contracts that limit them to delivering the service, bar them from training their own general-purpose models on your data, and require appropriate security.
  • Actions with financial, legal, tax or statutory effect follow the review and approval controls your organisation sets.
  • You own the outputs generated from your data.
  • AI suggestions are suggestions. Review them before you rely on them.
  • To protect security, we do not publish details of the models, prompts or methods behind AI features.

Security and breaches

The detail is on one page.

The safeguards we keep, and what we do if a breach affects your data, are on Security and data.

Service and changes

How the service can change.

  • We use commercially reasonable efforts to keep the service available. Uptime commitments, response times and remedies apply where your agreement or support plan sets them out.
  • During a paid term we will not materially reduce core features without 30 days' notice. If you are materially affected, you can end the service and receive a pro-rata refund of prepaid fees for the unused period.
  • Material changes to our Terms or Privacy Policy come with at least 30 days' notice to your administrators.
  • Government portals and services you connect have their own terms. An outage or change on their side is not a failure of Kinnow.

Your rights and grievances

Who to ask, and what to expect.

  • Kinnow is the data processor for your company's data. Your company is the data fiduciary.
  • If you are an employee or customer of a Kinnow customer, ask that organisation first. We help them respond.
  • You can ask to access, correct or erase personal data, withdraw consent, and nominate someone to act for you in the event of death or incapacity.
  • Write to [email protected] or use the settings in your account.
  • Our Grievance Officer is Ashish Chawla, [email protected]. We acknowledge a grievance within 48 hours and aim to resolve it within 30 days.
